Construction pricing must also include escalation. Turner reported its U.S. nonresidential building cost index rose 4.72% year over year in the fourth quarter of 2025. A bid held open for ninety days without escalation language can lose several points of gross margin before work begins. What Monthly Overhead and Staffing Model Are Realistic?
The minimum credible team normally includes estimating/preconstruction, project management, field supervision, accounting or job-cost administration, and executive sales. One person can cover two roles at launch, but the estimate should still carry the economic cost of those roles. Otherwise, the model shows an artificial profit that depends on the owner working without compensation.
BLS reported a 2025 mean wage of $65,360 across construction and extraction occupations and $86,450 for first-line supervisors. Construction managers had a 2024 median annual wage of $106,980. Those national figures are useful anchors, but local union conditions, travel, overtime, security-sensitive scheduling, and scarce electrical or low-voltage skills can push loaded costs higher. Construction companies rarely fail because the income statement looked bad from day one. They often fail because cash leaves before earned revenue is billed, approved, and collected. Billing discipline starts before contract signature. Negotiate mobilization, stored-material billing, equipment title transfer, change-order markups, retainage release, and closeout. An 18% margin project can still drain cash when deposits, underbilling, and retainage peak together.
Tax accounting may also differ from cash timing, especially on long-duration contracts. The book, tax, and cash views should be reconciled with a construction-focused CPA so that taxable income, earned revenue, retainage, and actual collections do not surprise the owner.
Where Is Break-Even, and What Drives Profitability?
The break-even point is controlled by annual overhead and the gross margin earned after direct project costs. Revenue alone is not a useful target. A contractor can grow from $3 million to $6 million and make less money if estimating errors, overtime, subcontractor overruns, and unapproved changes compress margin.
With $900,000 of annual overhead and an 18% gross margin, break-even revenue is $5.0M. If margin falls to 15%, the same company needs $6.0M. A three-point margin loss therefore adds $1.0M of required revenue.

Track separate standards for equipment-only swaps, canopy retrofits, and full civil additions. Combining them produces a meaningless average. Compare actual labor hours with the estimate and record causes such as utility conflicts, security delays, weather, access limits, and rework.
CFMA's financial-health guidance treats margin, cash, receivables, underbilling, and working capital as connected measures. A weekly dashboard should therefore show forecast gross profit by job, cash position, approved and pending changes, pay-application status, retainage, subcontract commitments, equipment deposits, and backlog. A project manager who sees only schedule data cannot protect the financial model.
How Should the Business Be Funded and Opened?
Match funding to the asset. Use equity for early risk, term debt for vehicles and durable equipment, and a revolving line for temporary receivable, deposit, and retainage gaps. Long-term debt should not hide recurring underbilling.

Owner income is not the same as revenue, gross profit, or even accounting net income. An active owner may receive a market-based salary for estimating, sales, or management.
