How Much Does It Cost to Build the Service and Its Quality System?
A remote, contractor-led captioning company can start with modest physical assets, but a credible operation still needs redundant workstations, secure file transfer, professional insurance, captioning or CAT software, backup connectivity, documented quality control, and enough cash to pay people before clients pay invoices. A realtime owner-operator may also need a stenographic writer, audio interface, dictionaries, and streaming tools. Stenograph has advertised a full retail price of $5,995 for a Luminex II writer, illustrating why a live-captioning setup costs more than a basic post-production workstation.

NCRA’s current testing information lists a Certified Realtime Captioner skills-test fee in the low hundreds of dollars, but the larger cost is training time and lost billable capacity. The cleanest control is a job-level contribution report. For every project, record billed minutes or hours, captioner cost, QC time, platform charges, rush coverage, refunds, and rework. A client can look profitable at the invoice level and still destroy margin through terminology preparation, file-format exceptions, late source files, and repeated revision cycles.
Pricing, Capacity, and the Human-versus-Automation Trade-off
Captioning prices should reflect both the media unit and the production difficulty. Clean single-speaker business video is not economically comparable with a medical panel, overlapping dialogue, poor audio, live government meeting, or broadcast file requiring exact positioning and style compliance. That capacity constraint is easy to underestimate. 3Play Media notes that a trained transcriptionist may take roughly four to five hours to transcribe one hour of content. Timing, speaker identification, sound descriptions, quality review, and client formatting add more work. A provider charging $1.50 per media minute cannot use a high-cost U.S. specialist for every production step unless automation, lower-cost labor, specialization, or volume efficiency reduces the effective labor hours.

Where Is Break-Even for a Small Captioning Agency?
Break-even is driven by the blended contribution margin, not by gross revenue alone. A $7-per-minute technical project and a $1.50-per-minute standard file may produce similar contribution dollars if the technical job requires substantially more labor. Live assignments can carry attractive hourly contribution but create scheduling gaps, minimum-pay commitments, and expensive backup coverage.
With $26,000 of fixed monthly cost and a 48% blended contribution margin, break-even revenue is about $54,200 per month.
Here is the quick math. At $54,200 in monthly sales, a 48% contribution margin produces about $26,000 to cover fixed costs. If price pressure or rework lowers contribution margin to 40%, the same company needs $65,000 in monthly revenue. That eight-point margin decline raises break-even by about $10,800 every month.

One base mix might contain 11,000 prerecorded minutes at a $3.20 average selling price, 150 live hours at $150, and $10,300 of retainers or remediation. That yields about $68,000 of monthly revenue. But 11,000 finished minutes can require five to seven full-time-equivalent production workers depending on automation and complexity. A spreadsheet that models revenue without the required labor hours will overstate profit.

For example, a 6% rework rate on 12,000 monthly minutes means 720 minutes are reopened. If remediation consumes 0.75 labor hour per 10 minutes at a loaded $35 per hour, rework costs roughly $1,890 before credits, account management, and delivery delays.

These scenarios are model outputs, not income claims. The upside case requires a real organization: multiple captioners and reviewers, strong account management, repeatable sales, sufficient working capital, and low client concentration. It also assumes the owner is no longer doing every delivery task personally. A solo practitioner may earn a healthy professional income, but revenue is capped by available hours unless the business adds subcontractors, employees, or higher-value managed services.
The safest distribution policy is quarterly, after reviewing trailing 13-week cash flow, tax liabilities, upcoming annual software renewals, equipment replacement, and the next two payroll cycles. If the company has less than two months of fixed cost in cash, owner distributions should normally pause.
Cash Flow, Compliance, and Client Concentration Are the Main Financial Risks
Captioning demand is supported by accessibility needs, but the legal scope is not identical across every client or video. The ADA’s effective-communication guidance explains that covered entities may need auxiliary aids and services, including realtime captioning, depending on the situation. A captioning company should not promise that one file automatically makes a client “ADA compliant” or “FCC compliant.” The client’s legal obligation, platform, media type, distribution channel, and requested standard determine the work. What Payback Period Is Realistic?
Payback measures how long the business takes to recover the initial cash invested. It is useful, but only when the numerator includes the true launch investment and the denominator uses cash actually available after the owner is paid for operating labor. A model that divides startup cost by EBITDA while ignoring debt principal, taxes, replacement equipment, and working capital will make the payback period look artificially short.

A realistic planning range is often two to five years for a managed service that must build sales, contractor depth, and institutional credibility. A skilled solo practitioner with existing clients and equipment may recover incremental startup spending faster. A newly hired agency team serving slow-paying clients may take longer even if the income statement becomes profitable in year one.
Payback stretches for three recurring reasons. First, revenue ramps gradually while payroll and software begin immediately. Second, receivables absorb cash as sales grow.
