The strongest quote uses a scope sheet. It states whether the contractor or cleaner removes heavy debris, whether window scraping is permitted, who supplies lifts, whether the building has power and water, how many mobilizations are included, and what counts as a change order. Without those terms, a fixed price quietly becomes an unlimited promise.

Overtime can be especially expensive near turnover. The U.S. Department of Labor states that covered, nonexempt employees generally must receive at least time-and-one-half for hours over 40 in a workweek under the Fair Labor Standards Act overtime rules. A bid that assumes straight time but finishes with weekend or late-night overtime can miss its labor budget even when total hours are correct.
Subcontracting labor does not automatically remove payroll risk. The IRS says worker status depends on the real relationship, including behavioral control, financial control, and the type of relationship—not the label in the agreement. The upside case does not assume overhead stays flat forever. It includes more supervision, administration, storage, and insurance. Still, overhead should grow more slowly than gross profit. If revenue rises but fixed overhead rises just as fast, the business is adding complexity rather than scale.

Owner income is not revenue, and it is not automatically the accounting profit line. The owner may earn a market wage for estimating, supervising, or cleaning and may also receive distributions from profit. Those two roles should be separated so the model shows whether the company can pay for management even if the founder steps back.
Before taking a distribution, the company must cover direct job costs, fixed overhead, debt service, taxes, maintenance capital, equipment replacement, and a working-capital reserve. A company that distributes all cash after a strong month may struggle to fund the next large project.

The cleanest test is replacement cost. If the owner works 55 hours a week estimating, managing crews, solving punch lists, and collecting invoices, the financial model should include the cost of replacing those functions. Profit that disappears after hiring a manager is mostly unpaid owner labor.

What Safety, Compliance, and Contract Risks Can Erase the Margin?
Post-construction crews may enter spaces with sharp debris, unstable access, chemical residue, airborne dust, unfinished electrical work, and active trades. Safety is therefore both a legal responsibility and a cost assumption. Training time, PPE, HEPA filtration, proper ladders, ventilation, and supervisor oversight belong in the bid.
OSHA’s construction housekeeping standard requires debris to be kept clear from work areas, passageways, and stairs and calls for regular removal and proper containers. A cleaner should not dry-sweep unknown fine dust by default. Scope, controls, HEPA equipment, and responsibility for exposure assessment need to be decided before work begins.

What Payback Period Is Realistic?
Payback measures how long it takes cumulative cash available for recovery to equal the initial owner investment. Use free cash after debt service, taxes, maintenance capex, and required working-capital additions—not EBITDA and not revenue.

For a $75,000 initial investment, $18,000 of annual payback cash implies about 4.2 years. At $48,000, payback is about 1.6 years. At $96,000, it is about 0.8 year. The arithmetic is simple; the hard part is defining sustainable cash flow.

Payback often stretches because the first months are spent bidding, becoming an approved vendor, training crews, and waiting for payment. A project may show profit in month three while the cash arrives in month five. Equipment failures, wage increases, insurance audits, and customer concentration can extend recovery further.
A responsible investment decision therefore uses a ramped payback schedule. Month one should not be treated like month twelve. The founder should also separate return of capital from a fair wage for personal labor. Otherwise the payback calculation counts the owner’s unpaid work as investment return.
Final decision test
The business case is strongest when the company can win repeat contractor relationships, maintain a measured 30%-40% project contribution range, keep re-cleans controlled, collect near contract terms, and fund at least one payroll cycle without depending on the next customer payment. If the base case only works with perfect productivity and immediate payment, the investment is undercapitalized or underpriced.
Post-construction cleaning can be an attractive service business because equipment needs are moderate compared with many trades. But the real asset is disciplined estimating, crew control, documentation, and cash management. Those systems—not square footage alone—determine whether growth produces owner earnings or simply produces a larger payroll.
