Monthly P&L Excel Dashboard
Free Excel download
Review monthly profit, budget variance and fiscal year-to-date performance in one Excel workbook. The Monthly P&L Excel Dashboard connects your actuals and budget to a visual dashboard and a detailed profit and loss report.
Select the reporting month directly on the dashboard to update the KPI cards, comparisons and charts. Use it for monthly management reporting, founder reviews and fractional CFO client meetings.
Four KPI cards and four charts
- Revenue, gross profit, EBITDA and net income: each card shows the selected month's result, its percentage variance against budget and the change from the prior month.
- Revenue vs budget: compare actual revenue trends with the fiscal-year budget.
- EBITDA vs budget: track operating profit against plan.
- Monthly cost comparison: compare cost of sales, payroll, marketing, G&A and other operating expenses with budget.
- Profit margins: follow gross, EBITDA and net margins through the fiscal year.
Six connected working sheets
| Sheet | What it does |
|---|---|
| Dashboard | Choose the reporting month and review four KPI cards and four native Excel charts. Actual trends end at the selected month; the budget remains visible for the full fiscal year. |
| P&L Report | Review selected-month and fiscal YTD actuals, budget, variance amounts and variance percentages. Follow revenue through gross profit, operating expenses, EBITDA, depreciation, interest, tax and net income. Monthly calculations below the report show how totals are built. |
| Settings | Set the company name, reporting currency label and fiscal-year start month. Rename the three revenue streams to match your business. |
| Actuals | Enter one row per month: three revenue streams, three direct-cost categories, payroll, marketing, G&A, other operating costs, depreciation, interest and income tax. |
| Budget | Enter the monthly budget in the same structure for consistent comparisons. |
| How To | Follow the setup steps, monthly update process and explanations of variances, margins and missing data. |
Monthly and YTD comparisons
The detailed report compares matching periods. Fiscal YTD starts in the month you choose in Settings. Margins use total profit divided by matching total revenue. Margin differences are shown in percentage points; amount variances use actual minus budget. Expenses appear as negative values in the report, so positive expense variances indicate favorable underspending.
Missing or incomplete actuals stay unavailable, and future actuals appear as chart gaps. A real zero remains a valid input. When a comparison base is zero, the corresponding percentage is shown as unavailable.
How to use it
- Set your company, currency label and fiscal year in Settings.
- Replace the illustrative data in Actuals and Budget. Enter positive amounts for revenue and expenses and use explicit zeros for categories that do not apply.
- Select the reporting month from the yellow dropdown on Dashboard.
- Review the selected month's results, prior-month comparisons, budget variances and fiscal YTD performance.
Each source table has 120 prepared rows. Keep dates unique and add a month-start date when extending the source calendar. The dashboard's month list follows the configured dates in Actuals.
